HealthCare Industry Translations

Eurasia Translations, Inc. has a long history of translating marketing materials and handbooks for California managed health care plans.

In our effort to facilitate the process for services requested by our customers, our company volunteered in creating Guidelines for Translators that could be utilized by any vendor working on the company’s ob. We are glad that the company has used our draft and, after modifications and revisions, they issued a final document which was distributed among their vendors. Our guidelines were annotated as a footnote by the company Guidelines for Translation requests, Review Requests, Layout Only and Cultural Competency reviews document in the form of a footnote.

In addition, we always look forward to attending training sessions provided by healthcare organizations we are work with, to ensure compliance and compatibility with the company’s current requirements and concerns regarding material content as well as computer software issues.

When training our translators to translate healthcare marketing materials, we ensure that they follow the criteria below:

• Documents shall be translated for an audience with the reading level equivalent to 6th grade level or under;
• Accurate translation of specific medical terminology;
• Managed Care Glossary of Terms is used;
• Grammar, flow, spelling, and punctuation of translation are appropriate and that there are no omissions;
• Client’s specific document format is used;
• Word usage is consistent and easily;
• Word usage is professional, non-offensive, and has a positive tone; and
• The use of culturally appropriate words/phrases that is sensitive to the language style/patterns of the target population;
• The complete translation is returned in both Word and PDF formats (or any other application requested by the client) and must mirror the source document.

When the translation is completed, it is returned to our Project Manager who assigns it for internal review (Second Tier) to make sure that the translation is completed in the same format as the English source (i.e. including all bullet points, maintaining spacing, bolding or italicizing where appropriate, etc.), nothing is omitted, preferred font is being used in addition to accuracy of phone numbers, use of parenthesis, hyphens should correspond to the English unless a cultural competency issue trumps this consistency i.e. Farsi number conventions; names proper names are not translated. After QA is completed in accordance to our company’s standards, the document is delivered to the client on the specified deadline.


Layout Review

For Layout Review Requests, the Project Manager assigns it to a translator to perform the following:

Check that sentences are complete and accurate and that the layout of the document makes sense i.e. picture caption corresponds with the right photo;

Check document to ensure no corruption in fonts;

Make sure that the translated text and layout mirrors the source;

While reviewing the Layout, our translators do not to check the translation quality or grammar, neither recommend stylistic changes.

However, if we find words or areas that contain egregious errors, we will notify the client about them. It will then be at the client’s discretion to request a retranslation or proceed with printing.

 


Cultural Comptency Review Requests

In a Cultural Competency review, the assigned translator will be checking if:

• The material reads at an appropriately low reading level
• The material is culturally sensitive
• Overall grammar usage is appropriate

On-Site Interpreting

FEDERAL RULES OF CIVIL PROCEDURE (FRCP)
On December 1, 2006 new rules for the discovery and handling of electronic records in Federal courts went into effect. The amendments mandate the companies to be prepared for electronic discovery by their ability to access, search and retrieve electronic records in the event of litigation.

HIPAA (HEALTH INSURANCE PORTABILITY AND ACCOUNTABILITY ACT)
